This Privacy and Security Statement lists and explains the practices used by Intellectus Statistics regarding the collection, use, and disclosure of your information, including personal information.

Security

We use a variety of physical, technical, and administrative measures to safeguard information in our possession against loss, theft, unauthorized use, disclosure, and modification. These measures are designed to provide a level of security appropriate to the risks of processing your information. For example, we take steps to limit access to your data to employees who have a legitimate business reason to access such information. We also use encryption and hashing to help protect sensitive information during both transmission and storage.

Please note that no measures can provide 100% security. Despite our efforts, there is always the possibility that a breach in data transmission or storage may occur. We have taken great care to secure your data and reduce the risk of an incident but cannot guarantee complete protection.

Please note that if you allow others to use your account, they may be able to view your data, including your personal information and any data you have uploaded to our services.

HIPAA and Specific Data Types

Our services are for general use and are not capable of identifying or classifying any processed or stored information as Protected Health Information (PHI), HIPAA, or any other specific data type. Any processing of data with a specific classification is purely incidental and not required to use our services.

We recommend that any sensitive data be de-identified prior to being uploaded to our services. The HIPAA Privacy Rule states that once data has been de-identified, covered entities can use or disclose it without any limitation. The information is no longer considered PHI and does not fall under the same regulations and restrictions as PHI.

Collection of Information

We collect information from you in several ways, including information you provide to us directly, information we collect automatically, and information we collect from third parties.

Information You Provide to Us

We currently collect and store the following information:

  • Name
  • Email Address
  • Password
  • Phone Number
  • Organization Name
  • Organization Role
  • Data uploaded to our service
  • Content generated by our services, including statistical output such as plots or analyses, and information about erros and warnings
  • Requests or questions submitted via forms or email
  • Receipts and invoices for online purchases (payment information is processed but not stored)

We collect this information in a variety of ways, including when you submit the information via a form in any of our online services, interact with our employees and associates by phone, mail, e-mail, or other forms of electronic communication, or participate in surveys or marketing promotions.

Information We Collect Automatically

When you interact with our services, we collect the following information automatically:

  • Your usage, including your activity within our services, such as analysis selection and history, navigation, and time and date information
  • Errors or warnings generated by our services which may include your information
  • Information about the device used to access our services
  • Information about your connection, including your IP address, browser, geographic location, and any information available through cookies or other web technologies, such as advertising data

Information from Third Parties

We collect some information from third parties, which vary over time, but may include:

  • Service providers that help us determine your geographic location based on your IP address
  • Payment providers who provide us with payment information or process transactions on our behalf
  • Online and offline data providers from which we may obtain demographic, interest based and advertising information
  • Publicly available sources such as open government databases

Service Providers

We use other companies, agents or contractors (“Service Providers”) to perform services on our behalf or to assist us with the provision of services to you. For example, we engage Service Providers to provide infrastructure and IT services, to personalize and optimize our service, to process credit card transactions or other payment methods, to provide customer service, to collect debts, to analyze and enhance data (including data about users’ interactions with our service), and to process and administer consumer surveys. In the course of providing such services, these Service Providers may have access to your personal or other information. We do not authorize them to use or disclose your personal information except in connection with providing their services.

Business Transfers

In connection with any reorganization, restructuring, merger or sale, or other transfer of assets, we will transfer information, including personal information, provided that the receiving party agrees to respect your personal information in a manner that is consistent with our Privacy and Security Statement.

Protection and Legal Compliance

Intellectus Statistics may disclose and otherwise use your personal and other information where we reasonably believe such disclosure is needed to satisfy any applicable law, regulation, legal process, or governmental request, enforce applicable terms of use, including investigation of potential violations thereof, detect, prevent, or otherwise address illegal or suspected illegal activities (including payment fraud), security or technical issues, or protect against harm to the rights, property or safety of Intellectus Statistics, its users, or the public, as required or permitted by law.

Unless otherwise mentioned in the sections above, we do not share or provide access to your information to any third party without your prior consent.

Other Websites, Platforms, and Applications

Our services may be provided through and/or utilize features (such as voice controls) operated by third party platforms or contain links to sites operated by third parties whose policies regarding the handling of information may differ from ours. These websites and platforms have separate and independent privacy or data policies, privacy and security statements, notices and terms of use, which we recommend you read carefully.

Use of Third-Party Large Language Models (LLMs)

Our services utilize LLMs hosted by third-parties to provide enhanced services, including but not limited to natural language processing, chat support, and content generation. These third-party services may process user data to function effectively. This may include text inputs, user interactions, and other related data necessary for the functionality of the LLM.

Data Sharing and Disclosure

We may share your data with third-party service providers who assist us in operating the LLMs. We review the policies of each provider to ensure your data is handled securely and confidentially. We do not authorize any customer data to be used by third-party service providers to train LLMs. We may disclose your data if required to do so by law or in response to valid requests by public authorities (e.g., a court of government agency).

Control and Ownership of Your Information

At any time, you may request access to your personal information, or update the information we have collected about you. We may reject requests that are not required by law or those we consider to be unreasonable, including requests that would be extremely impractical, could require disproportionate technical effort, or could expose us to operational or legal risks.

We may retain certain information as required or permitted by applicable law or regulations, including to honor your requests or for our purposes as described in this Privacy and Security Statement. We take reasonable measures to destroy personally identifiable information in a secure manner when it is no longer required.

Changes to This Privacy and Security Statement

We will update this Privacy and Security Statement from time to time in response to changing legal, regulatory or operational requirements. We will provide notice of any such changes in accordance with legal requirements. Your continued use of our services after any such updates take effect will constitute acknowledgement and acceptance of those changes. If you do not wish to acknowledge or accept any updates to this Privacy and Security Statement, you may cancel your use of our services.
